Send messages from the dashboard
The Dashboard lets you send or schedule a WhatsApp message to a few numbers or groups without a spreadsheet or code. This guide covers sending first, then the rest of the dashboard: alerts, your plan and credits, and the feature cards.
Before you start#
- At least one WhatsApp number showing Connected on WhatsApp settings. Until then, the Send Test Message form on the dashboard is disabled.
- Credits left on your plan. Each recipient uses one message. Wbiztool checks your credits before each recipient, so if they run out partway, the recipients before that point are already queued and the rest get "Not enough credits!".
Send a message#
The Send Test Message card is on the Dashboard.
Choose who to send to
In Target Type:, choose WhatsApp Numbers or WhatsApp Groups.
Choose the message type
In Message Type:, choose Text Message, Image + Text Message or File + Text Message.
Pick the sending number
In WhatsApp Client:, choose which connected number sends the message.
Add recipients
In Phone Number (With Country Code):, type a number such as
919876543210and press Enter or Tab. It becomes a pill. Add as many as you need. For groups, type the group name exactly as it appears in WhatsApp under Group Name:. See Pick recipients from your contacts.Write the message
Type your text in Message:, up to 3,000 characters. WhatsApp formatting such as
*bold*and_italic_works. For image or file messages, also fill in Image URL or File URL, and use the text as the caption.Send
Click Send. You see "Your msg has been queued. It will be sent soon!" Each recipient gets their own message from the selected number.
Track the messages on the Reports page. There you can also cancel a message that hasn't been sent yet.
Numbers and groups#
- Numbers must include the country code. Spaces,
+,-and brackets are removed, and what's left must be 10 to 15 digits. - Group names must be at least 2 characters and match the WhatsApp group name exactly. The sending number must be a member of the group.
- Switching Target Type: clears the recipients you've added.
Images and files#
Image URL and File URL must be public links that open the file directly, without a login. Upload a file in the Media library to get such a link.
The recipient sees a file name taken from the end of the URL. If the link doesn't end in a known extension such as .pdf, .docx, .xlsx or .mp4, .pdf is added to the name, so use links that end in the right extension.
Schedule a message#
Turn on scheduling
Tick Schedule Message (Optional).
Pick the date, time and timezone
Choose Schedule Date & Time and the Timezone: that time is in. Your browser's timezone is preselected when it's in the list, otherwise UTC. Your last choice is remembered.
Send
Click Send. The confirmation still says "Your msg has been queued. It will be sent soon!" The message waits in the queue and goes out at the chosen time, as long as the sending number is connected. Check Reports to see the scheduled time.
The scheduled time must be in the future. This check uses your computer's clock, not the timezone you picked, so a time that's already past in the chosen timezone can still be accepted and sent straight away. Scheduled messages reserve credits straight away.
Pick recipients from your contacts#
Click into the recipient field to see Recent contacts, or start typing a name or number to search. Up to 15 matches of the current Target Type: appear, contacts for WhatsApp Numbers or groups for WhatsApp Groups, most-messaged first. Use the arrow keys and Enter, or click, to add one.
Contacts are saved automatically whenever you message a new number or group. Manage them on the Contacts page.
Send from WhatsApp settings#
Send Test Message in a number's Actions menu on WhatsApp settings opens the same form in a window. After sending you see "Your message in the queue. check reports page to get status of the messages". Click Go To Reports to see the status.

Alerts#
Banners at the top of the dashboard tell you what to fix first. Setup Required! and WhatsApp Disconnected! can show alongside others, but only one of Verify Your Email!, Trail Expired! or We need your attention!, and Connect Your Whatsapp! shows at a time, in that order.
| Alert | What to do |
|---|---|
| Setup Required! | Add your WhatsApp number in Settings → Profile, review Notifications and connect WhatsApp. |
| WhatsApp Disconnected! | A number in the workspace is logged out. Click Reconnect now. It also appears for numbers you disconnected on purpose or never finished connecting; delete those numbers to clear it. A pop-up also reminds you, at most every 6 hours per number, with Go to WhatsApp Settings and Remind Me Later. |
| Verify Your Email! | Open the confirmation email, or click Click here to resend. |
| Trail Expired! | Your free trial ended. Choose a plan on Billing & Plans. |
| We need your attention! | A payment was declined. Click Add Payment Method in the banner to update your card. |
| Connect Your Whatsapp! | No connected number yet. Open WhatsApp settings. |
Plan and credits#
- Your plan name with Current Plan, plus Renewal Date: (or Usage Renewal: on lifetime plans) and a Change Plan link. If a payment is due, the link reads FIX IT.
- Remaining Credits, broken down into Sent, In Progress (queued, including scheduled messages) and Quota. Queued messages reserve credits; failed, cancelled and expired messages don't use any.
- WhatsApp Quota Used: connected numbers against Allowed Max Connection:, with a Connect WhatsApp button.
Feature cards#
| Card | Shows | Link |
|---|---|---|
| Send via Excel | Number of active (not archived) campaigns | Manage Campaigns |
| Template Messages | Active | Manage Templates |
| Recurrent Reminders | Number of active reminders | Manage Reminders |
| Unibox | Numbers used out of the limit of your Unibox add-on ($20/month or $200/year per WhatsApp number, bought on Billing & Plans) | Manage Unibox |
| Media Directory | Storage used, for example 12.5 MB Used | Manage Files |
A card shows Not Available with Upgrade to Access when your plan doesn't include that feature. For Unibox, that means you haven't bought the Unibox add-on.
Messages In Last 12 hours charts sent and failed messages per hour. Team members who didn't create the workspace may see an empty chart; use Reports for full history.
