Send bulk WhatsApp messages from Excel or CSV

Have your customers in a spreadsheet? Upload it to WbizTool and every row gets its own WhatsApp message from your number. You see what will go out before anything is sent, and messages leave at a steady pace with random gaps, not all at once.

Free trial: 50 messages in any 30 days, no card.

How it works

  1. Connect your WhatsApp number

Link one or more numbers like WhatsApp Web, with a QR code or a pairing code. People see your messages as normal WhatsApp messages from you.

  2. Prepare your sheet

For a campaign, the first row holds To and Message, plus Image/File Url, whatsapp_client_id and Schedule Time if you need them. For template messages, keep a phone column and any others, such as Name or Order. From Google Sheets, download the sheet as .xlsx or .csv.

  3. Upload it and check every row

Click Check sheet. Nothing is sent yet: WbizTool shows how many messages are ready, which rows it will skip and why, and the first messages as they'll go out.

  4. Choose the pace and the hours

Pick Careful, Normal or Quick, tick the numbers to send from, and if you like start later or send only between certain hours on certain days.

  5. Send and follow it

Follow sent, waiting and failed messages on the campaign. Pause, resume, retry failed messages, cancel the waiting ones, or download an Excel report.

What you can do

  • Each row its own message

Campaigns send each row's Message as written, to a number or to a WhatsApp group by its exact name. Upload a .csv, .xls or .xlsx file of up to 10 MB. Campaigns work on every plan, the free trial too.

  • Names and order numbers filled in

Template messages send one text with {{Name}}, {{Order}} or any column from your sheet, and a preview shows each person's message before you send. Up to 5,000 rows per send, on a paid plan.

  • A steady, natural pace

Careful leaves 45 to 90 seconds between messages from a number, Normal 20 to 45 and Quick 8 to 20, each gap picked at random. At Normal, 100 messages from one number take about 80 minutes.

  • Send windows

Start a campaign later, send only between set hours on the days you choose, or give each row its own Schedule Time. Messages outside the hours wait and keep the pace when sending resumes.

  • Share the list between numbers

Tick several numbers under Send from and the rows take turns between them, each number at its own pace, so the list finishes sooner. Or name one number per row in whatsapp_client_id.

  • Images and PDFs

Put a public link in Image/File Url and the row's message goes with it as the caption. Images can be up to 16 MB, videos 64 MB and other files 100 MB. Upload yours to the Media directory to get a link.

Example messages

  • Hi Olivia, our autumn sale starts Friday: 20% off all candles for returning customers. If you'd rather not get offers from us, just reply and we'll stop.
  • Hi Rahul, your order 1062 is ready for pickup at our Andheri store until 8 PM today.
  • Hi Ms. Lopez, school reopens on Monday, January 5. This term's timetable is attached.

Good to know

  • Plan for about 150–200 messages per number per day. Each number can take at most 1,000 messages in 24 hours, and a campaign that would go over that isn't started at all. Spread a big list over several days with send windows or Schedule Time, or over several numbers.
  • Campaigns have no variables: every row's Message is sent exactly as written. To fill in names from columns, use template messages, which need a paid plan, go only to phone numbers (not groups) and send from one number.
  • On the free trial, each row uses one of your 50 messages in any 30 days. If the sheet needs more than you have left, nothing is sent. Paid plans, from $25 a month in the US, send unlimited messages under fair use.
  • Want names filled in for free? The WbizTool Chrome extension sends campaigns from a .csv or .xlsx file of up to 50,000 rows with {{name}} and your other columns, from WhatsApp Web in your browser, with no account. Keep WhatsApp Web open while it sends.
  • Format the phone column as Text in Excel. An .xlsx file keeps every digit, but a CSV saved from Excel keeps a rounded number like 9.19877E+11, and those rows are skipped.
  • Messages are deleted 90 days after they're sent, failed or cancelled, so download a campaign's report if you want to keep it.
  • Messages go from your own number, so WhatsApp's rules apply: send to people who know you and expect to hear from you, and make each message personal and useful.

Questions

How many WhatsApp messages can I send from Excel per day?
We advise about 150–200 per number per day. A number can take at most 1,000 messages in 24 hours under fair use. For more, spread the list over several days or several numbers.
Can I put each customer's name in the message?
Yes, with template messages: write {{Name}} or any other column name from row 1 and every row gets its own text. Template messages are on every paid plan. A campaign instead sends the text in each row's Message cell as it is.
Which files can I upload?
.csv, .xls and .xlsx. Campaigns take files of up to 10 MB. Template messages take up to 5,000 rows per send and read only the first worksheet of an Excel file, up to 5 MB.
Can I send from Google Sheets?
Download the sheet as .xlsx or .csv and upload it as a campaign or template messages. For rows that keep arriving, such as new leads, a Google Sheets trigger sends each new row by itself (paid plan).
Can I stop a campaign once it has started?
Yes. Pause stops it until you resume, and Cancel waiting cancels every message not yet sent. Cancelled messages don't count against your plan.
Is this the official WhatsApp Business API?
No. WbizTool sends from your own WhatsApp number, linked like WhatsApp Web, with no Meta approval, no approved templates and no per-message fee.
