Send WhatsApp payment reminders automatically

For landlords, tutors, agencies and anyone who waits on invoices. Set a reminder once and WbizTool sends it from your own WhatsApp number on the day you choose – every month, every week or just once. Attach the invoice as a PDF if you like.

How it works

  1. Connect your WhatsApp number

    Link the number your customers already know, the same way as WhatsApp Web: scan a QR code or type a pairing code on your phone. Reminders go out from that number as normal WhatsApp messages from you.

  2. Choose how reminders start

    Create a repeating reminder for fees that come back every month, import one reminder per customer from a CSV or Excel sheet, let a Google Sheet send each row at its due date, or call the API from your billing software.

  3. Write the message and attach the invoice

    Write the customer's name, the amount and the due date. To send the invoice, choose File and paste a public link to the PDF, or pick it from your Media directory.

  4. Check the schedule and let it run

    The reminder dialog shows the schedule in words and the next three times it will send. Every message then shows in Reports as waiting, sent or failed.

What you can do

  • Monthly and weekly schedules

    Pick a preset such as “1st of every month at 9:00 AM”, or type a schedule: 0 10 1,15 * * sends at 10:00 AM on the 1st and the 15th, 0 18 L * * at 6:00 PM on the last day of the month. Each reminder follows its own time zone, daylight saving time included.

  • One reminder per customer from a sheet

    Import a .csv, .xls or .xlsx file with up to 1,000 rows: a name, a phone number, the message and the schedule on each row. WbizTool checks every row and tells you which ones it skipped and why.

  • Invoices as PDF files

    Send a file with the reminder from a public link or your Media directory. A file from your Media directory arrives with the name you uploaded it with; any other link with its last part, such as invoice-4821.pdf. Through the API you can set the file name yourself.

  • Due dates from Google Sheets

    A Google Sheets trigger fills the message from the row's columns, such as {{Name}} and {{Amount}}, and with “Send at a date from the sheet” sends each new row at the date and time in its own cells.

  • One-off reminders through the API

    Schedule a single reminder for a set date, time and time zone with /api/v1/schedule_msg/. You get a msg_id back, so you can cancel the message if the customer pays first.

  • Dates that fill themselves in

    Words such as {current_date_formatted} and {reminder_name} are replaced each time a reminder runs, so “rent is due on {current_date_formatted}” always shows that day's date.

Good to know

  • Reminders, sheet imports and Google Sheets triggers need a paid plan, from Lite at $25 a month in the US (Lite has 1 Google Sheets trigger, Standard 3, Advanced 5). Paid plans send unlimited messages under fair use: up to 1,000 a day per number.
  • A reminder keeps sending until you pause or delete it – it doesn't know that a customer has paid. Pause it on the Reminders page, or cancel a scheduled message with its msg_id.
  • The words a reminder fills in are dates, times and your workspace's name, not the customer's. Type the name and amount into each reminder's message (a sheet import does this row by row), or use a Google Sheets trigger, which fills in any column.
  • The invoice link must open without a login. A repeating reminder downloads the file each time it sends, so keep the link working while the reminder runs.
  • A repeating reminder sends the same file every time. For a new invoice each month, schedule each one through the API, or send it from a Google Sheets trigger with the invoice link in a column.
  • If your number is disconnected, each run waits and they all go out when you reconnect: a daily reminder left for a week sends 7 copies at once. Cancel the extra ones in Reports before you reconnect.
  • Messages go from your own number, so WhatsApp's rules apply: send reminders to customers who know you and expect to hear from you, and keep the tone friendly.

Can WbizTool send a WhatsApp payment reminder every month automatically?
Yes. Create a reminder with the preset “1st of every month at 9:00 AM”, or a schedule such as 0 10 15 * * for 10:00 AM on the 15th. It sends from your own number every month until you pause or delete it. Reminders are part of every paid plan.
Can I attach the invoice as a PDF?
Yes. In the reminder, choose File and paste a public link to the PDF or pick it from your Media directory. With the schedule message API, send msg_type 2 with file_url and, if you like, file_name, such as invoice-4821.pdf.
How do I remind many customers at once?
Import a CSV or Excel sheet with one reminder per row (up to 1,000 rows per file), or use a Google Sheets trigger that sends each new row at its due date. For a one-time round of reminders with each customer's name and amount filled in, use template messages.
Does the reminder stop when the customer pays?
Not by itself. Pause or delete the reminder on the Reminders page. A message scheduled through the API can be cancelled with its msg_id while it is still waiting.
Is this the official WhatsApp Business API?
No. WbizTool sends from your own WhatsApp number, linked like WhatsApp Web. There is no Meta approval, no Meta-approved templates and no per-message fee.
What does it cost?
In the US, paid plans start at $25 a month for 1 number (Lite), then $59 for 3 numbers (Standard) and $149 for 10 (Advanced); a year costs the same as 10 months. Pricing shows your country's price. The free trial gives you 50 messages in any 30 days with no card, to try sending first.
