Send WhatsApp messages from Google Sheets automatically

Add a row to a Google Sheet – a new lead, order or booking – and WbizTool sends a WhatsApp message to the number in its phone column, filled in from the row's other columns. It goes out from your own WhatsApp number, and no other automation tool is needed.

How it works

  1. Connect your Google account

    On the Google Sheets page in WbizTool, click Connect Google and allow access. WbizTool only reads your sheets: nothing in them is changed.

  2. Choose the sheet and worksheet

    Click New trigger, pick the spreadsheet in Google Drive and choose the worksheet. Row 1 must hold the column names, such as WhatsApp, Name and Order.

  3. Choose when to send

    Pick A row is added, or A row is added or changed. Then choose the sending number (or Any connected number) and check the phone column WbizTool picked for you.

  4. Write the message

    Click a column name to insert it, such as {{Name}}. Preview with the first row shows the message filled in from row 2.

  5. Test, then let rows come in

    Test sends the message made from the last row to your own number only, starting with [TEST]. After that, new rows are usually sent within a few minutes.

What you can do

  • Personal messages from your columns

    Write "Hi {{Name}}, thanks for your order {{Order}}!" and each row gets its own message, up to 3,000 characters.

  • New rows or changed rows

    Send once for each new row, or also each time a row changes. Rows already in the sheet aren't sent.

  • Images and files

    Choose Image or File and give a public link, or a column that holds one, such as {{Photo}}. The message becomes the caption.

  • Send at a date from the sheet

    Pick a date column, an optional time column and the time zone, and each row waits in Reports until its time.

  • Forgiving phone numbers

    Spaces, dashes, brackets and + don't matter. A number without a country code gets the one of the sending number. Rows without a valid number are skipped.

  • Pause, edit and alerts

    Pause and resume a trigger, edit its message, and get an email when it stops receiving changes or fails 3 times in a row.

Good to know

  • Google Sheets triggers need a paid plan: Lite has 1 trigger, Standard 3, Advanced 5 and Enterprise 10. The free trial has none. Paused triggers count; deleting one frees its place.
  • Owners and Editors set up triggers. Each worksheet can have one trigger, and only columns A to Z are read.
  • For a one-time send to a list, use Campaigns, or Template messages to fill in names. Triggers are for rows that keep arriving.
  • Add new rows at the bottom. With A row is added or changed, every edit sends the row again – even in a column the message doesn't use, such as a Status column – and so does sorting the sheet.
  • Format date columns as 2026-10-17 and times as 14:30. A row whose date WbizTool can't read, or whose date is empty, is sent right away.
  • WbizTool writes nothing back to the sheet. Each message's status is in Reports.
  • WbizTool sends from your own WhatsApp number, so WhatsApp's own rules apply: message people who expect to hear from you, such as your customers and leads.

Questions

Do I need Zapier or another tool?
No. The trigger runs inside WbizTool: when Google reports a change to the spreadsheet, WbizTool reads the worksheet and sends the new rows.
Which plan do I need?
Any paid plan. Lite includes 1 trigger, Standard 3, Advanced 5 and Enterprise 10. Paid plans send unlimited messages under fair use, up to 1,000 a day per WhatsApp number.
Will it message the rows already in my sheet?
No. Only rows added after you create the trigger are sent. With A row is added or changed, an existing row is sent once it changes.
How quickly are new rows sent?
Usually within a few minutes. There is no timer: the worksheet is read when Google reports a change to the spreadsheet. If the sending number is disconnected, messages wait until it's connected again.
What happens to a row with a wrong phone number?
It's skipped and doesn't count as an error. With A row is added, fix the number within 7 days and the row is sent at the next check.
Can I send at a time set in the sheet?
Yes. Tick Send at a date from the sheet and choose the date column, the time column (24-hour, such as 14:30) and the time zone of those dates.
