WhatsApp + Zapier: send messages from your Zaps

The WbizTool app on Zapier sends a WhatsApp message from your own number when something happens in another app, such as a new form entry, a new lead or a paid invoice. It can also start a Zap each time someone messages you on WhatsApp.

How it works

  1. Connect your WhatsApp number

    On WhatsApp settings in WbizTool, link your number like WhatsApp Web: scan a QR code or type a pairing code on your phone.

  2. Copy your Client ID and API key

    Find them on Settings → API keys. The API key decides which workspace Zapier uses, so create it in the workspace you want to connect.

  3. Add WbizTool to a Zap

    In Zapier, create a Zap, search for WbizTool as the trigger or action app and sign in with your Client ID and API key.

  4. Pick an action and map the fields

    Choose an action such as Send Text-Only WhatsApp Message, pick the sending number under WhatsApp Number, and map the recipient's phone (with its country code, like 919876543210) and the message from earlier steps.

  5. Test and publish

    A successful step means the message was queued. WbizTool then sends it from your connected number. If it can't accept a message, the step fails and Zapier shows the reason.

What you can do

  • Text messages

    Send Text-Only WhatsApp Message sends a text to any number, filled in with data from your other apps.

  • Images and PDFs

    Send Image File With Text on WhatsApp and Send PDF File With Text on WhatsApp send a file from a public URL, with an optional caption or message.

  • Advanced messages

    Send Advanced WhatsApp Message sends text, an image or a file, with an optional status webhook that tells you when it's sent.

  • Group messages

    Send WhatsApp Message on Group posts to a WhatsApp group your number is in, by its exact group name.

  • Start a Zap on incoming messages

    The Incoming WhatsApp Message trigger runs your Zap for each message someone sends to your number, with the sender's phone and name, the message type and its text.

  • Log chats in Google Sheets

    For example: Incoming WhatsApp Message, then Google Sheets Create Spreadsheet Row with Contact Phone, Contact Name and Message Content in their own columns.

Good to know

  • The text, image, PDF, group and advanced actions work on every plan, including the free trial (50 messages in any 30 days, no card). Paid plans send unlimited messages under fair use: up to 1,000 a day per WhatsApp number.
  • The Incoming WhatsApp Message trigger needs the Unibox add-on ($20 a month or $200 a year per WhatsApp number in the US), which is bought on top of a paid plan. The API key must belong to a workspace Owner or Editor.
  • The trigger only sends incoming messages received after you turn the Zap on. Older messages aren't replayed, and messages you send don't start it.
  • WhatsApp sometimes hides a sender's number (contact.phone_hidden is true). Before a step that replies, add a Filter by Zapier step that continues only when it's false.
  • WbizTool sends from your own WhatsApp number, so WhatsApp's own rules apply: message people who expect to hear from you, such as your customers and leads.

Which Zapier actions does WbizTool have?
Five: Send Text-Only WhatsApp Message, Send Image File With Text on WhatsApp, Send PDF File With Text on WhatsApp, Send Advanced WhatsApp Message and Send WhatsApp Message on Group. There is one trigger: Incoming WhatsApp Message.
Can a Zap start when a customer messages me?
Yes, with the Incoming WhatsApp Message trigger. It needs the Unibox add-on, which adds your number to the Unibox inbox. You don't need to add a webhook URL anywhere in WbizTool: it connects to Zapier when you publish the Zap.
How do I write the recipient's phone number?
With the country code and digits only, such as 919876543210, or put the country code (such as 91) in the optional Country Code field.
Can I call the WbizTool API without the app?
Yes. Use Webhooks by Zapier with a POST to https://wbiztool.com/api/v1/send_msg/ and the fields client_id, api_key, whatsapp_client, country_code, phone and msg, as JSON or form data.
Why did a Zap step fail?
Zapier shows WbizTool's reason, for example "WbizTool: Invalid phone number" (the number is wrong or has no country code) or "WbizTool: Not enough credits" (the free trial's messages are used up).
